Data protection 

XtraMile processes personal data in accordance with Norwegian law, ref. the Personal Data Act, the Marketing Act and the Accounting Act. This provides overall guidelines for how information about individuals should be processed, and the Norwegian Data Protection Authority (https://www.datatilsynet.no/) is both a supervisory authority and an ombudsman in this area. 

 

Responsibility for data processing in XtraMile

What do we use personal data for 

Stakeholders: We use information about you to give you secure access to the application demo and the courses. In addition, we send you relevant information in accordance with the consent you have given. 

Course participants: We use data about you to manage deliveries, orders and other contexts where we need to know who we are in contact with. The data stored about you is your name and email, the organization you belong to, course completions and test results. Your organization may also share additional information about you to better segment who gets a course or see results for course completion in your organization. Examples of this could be department information, office location, immediate manager etc. Access to this data is controlled and used only by the contact person in your organization. Your information is stored during the contract period and 6 months after the contract has ended. 

Throughout our platform, we may link to other websites, services, and applications owned and operated by third parties (including Microsoft Teams). These other third-party websites may also gather information about you in accordance with their own separate privacy policies. For privacy information relating to these other third-party websites, please consult their privacy policies as appropriate. 

 

Visits to our website 

When you visit our website, the IP address from which you contact us, which pages and how long you look at them will be registered. 

 

Use of cookies 

Our website uses cookies. These are small text files that are stored by the browser you use. A cookie belongs to a specific website and cannot be read by other websites. What is stored in a cookie varies, but it is usually keys that make it possible to save user preferences or to remember that you have visited the site before. 

Third-party cookies: If you include content in web pages from other websites, such as advertising banners or tools to track what you see on our pages, these may also store cookies on your computer. These cookies are called third-party cookies and are used to collect statistics. 

How to opt-out of cookies 

You can opt out of cookies by changing the security settings in your browser. You can usually find this under privacy and security etc. in the settings for the individual browser.  

 

Statistical tools 

We use a statistical tool called HubSpot to track who reads what in our email newsletters. If you click on a link in an email sent to you, you will be forwarded to our website, which tracks which pages you visit. If you take the course, this could be linked to the original email. We use a statistical tool called Google Analytics. As a visitor to our website, you are anonymized. Google Analytics is used to improve the user experience of our website and provide customized content.

Google Integration using Single Sign-On

When registering a user account, you can also use a single sign-on account (“SSO”). With an SSO, you can sign up for various different services and platforms with a single account. Some of our Sites currently offer you the opportunity to use the SSO services offered by Google, LLC, Amphitheatre Parkway, Mountain View, CA 94043, USA (“Google”). Google’s Privacy Policy and Terms of Use apply to the registration and use of the Google SSO service, see https://policies.google.com/privacy. Please note that the registration for and the use of SSO services are subject to the Google privacy policy and terms of use.

XtraMile use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Access to information  

To ensure that our processing of information about you securely takes place, only authorized persons at our company have access. Access to information is secured with personal usernames and passwords, and all employees undergo regular security and privacy training.  

 

Sharing information with third parties  

We do not share information about you with third parties except with subcontractors who help deliver services to you. This is regulated through separate agreements with the subcontractors. Please get in touch with us if you would like more information about this. Access, change and deletion of information If the information we have about you is incorrect or incomplete, you can ask us to update it. You can also request to have data deleted by contacting us, and to gain access to what we have stored about you. You can also contact us for more information about how we process personal data.
